Resume format — which layout works for Indian jobs

The right format makes your resume easy to scan, easy to parse, and easy to print. Here is what works in India, and what does not.

Format is not design — it is structure. A well-formatted resume uses the right layout for your experience level, follows spacing conventions that ATS systems expect, and prints cleanly on A4 paper. Most rejected resumes are not rejected for content; they are rejected because the format makes the content hard to find.

Three resume formats and when to use each

Reverse chronological

Best for: Most candidates — freshers, experienced, career changers

Lists your most recent role first and works backwards. This is what 95% of Indian recruiters expect and what every ATS parses best. If in doubt, use this.

Functional (skills-based)

Best for: Career changers with transferable skills

Groups experience by skill rather than by employer. Useful when your job titles do not match the role you want, but risky — many Indian recruiters see it as hiding gaps.

Combination

Best for: Senior professionals with a broad skill set

Opens with a skills summary, then lists work history in reverse order. Works well for 10+ year veterans applying to a different domain.

Formatting rules that matter in India

Use A4 paper sizeIndian companies print on A4. US Letter crops content on A4 printers.
Set margins to 0.5–0.75 inchesNarrower than 0.5 looks cramped; wider than 1 inch wastes space on a one-page resume.
Use a 10–11pt body fontReadable on screen and print. Below 10pt, phone screens make it unreadable; above 12pt, you waste space.
Stick to one font familyMixing fonts looks unprofessional. Use weight (bold for headings, regular for body) to create hierarchy.
Left-align everythingJustified text creates uneven word spacing. Centred text is harder to scan. Left-aligned is the fastest to read.
Use standard section headings"Work Experience" not "My Professional Journey." ATS systems match on standard heading text.
Save as PDF, not WordPDFs preserve formatting across devices. Word files reflow depending on the reader's installed fonts.
Name the file professionally"Priya_Sharma_Resume.pdf" not "resume_final_v3 (1).pdf."

What about two-column and sidebar layouts?

They look polished, but most Indian ATS systems read left-to-right, top-to-bottom. A sidebar breaks this: the parser reads the sidebar and the main column as a single stream, jumbling your skills into your work history. Use a single-column layout unless the company explicitly asks for a "creative" resume.

ATS-safe fonts

Stick to system fonts the parser can always read: Arial, Calibri, Helvetica, Times New Roman, or Garamond. Decorative fonts (Montserrat, Poppins, Playfair Display) sometimes embed incorrectly in PDFs, causing the ATS to see squares or blanks instead of text.

Freshers vs experienced: how format changes

  • Freshers (0–2 years): Education → Projects → Skills → Certifications. One page, no exceptions.
  • Early career (2–5 years): Summary → Work Experience → Skills → Education. Still one page.
  • Experienced (5–15 years): Summary → Work Experience → Key Projects → Skills → Education. Two pages acceptable.
  • Senior (15+ years): Executive summary → Leadership Highlights → Work Experience (last 10–15 years only) → Education. Two pages maximum.
